How to reply to Google reviews (and why it matters)

Your Google reviews are often the first thing a new customer reads about you, and your replies are part of that first impression. A thoughtful reply shows people there’s a real, caring business on the other end. It also shows the reviewer you were listening.

Reply to every review

Not just the bad ones. A quick thank-you on a 5-star review costs you thirty seconds and tells everyone reading that you appreciate your customers. Try to reply within a day or two while the experience is still fresh.

Thank happy customers by name

Use the reviewer’s first name if they shared it, and mention something specific they liked when it’s appropriate, like your friendly staff or a quick turnaround. Keep it short and genuine. A reply doesn’t need to be long to feel personal.

Keep negative replies calm and short

It’s natural to want to defend yourself, but arguing in public rarely wins anyone over. Thank them for the feedback, apologize that the experience fell short, and skip the excuses. Future customers are watching how you handle problems more than the problem itself.

Take problems offline

Invite the reviewer to call or email so you can sort things out directly. That keeps details private and gives you a real chance to make it right. If you do fix the issue, some customers will update their review on their own.

Never share private details

Don’t mention account details, appointment information, what someone bought, or anything personal, even if the reviewer brought it up first. And never offer discounts or gifts in exchange for reviews or changed reviews; Google’s policies don’t allow it.

Tips for insurance agents and dental offices

Insurance agencies: keep replies away from prices, premiums, coverage specifics, and claims, even if the reviewer brings them up. Public replies are not the place to discuss someone’s policy, and you never want a reply to read like a promise. Thank them, keep it general, and invite them to call the office. Our generator follows these rules automatically.

Dental offices: privacy rules mean you shouldn’t confirm that a reviewer is a patient, or mention any treatment, visit, or health detail, even when the review describes it. Stick to neutral language like “We appreciate you taking the time to share your feedback,” and for complaints, explain that you don’t discuss specifics online and invite them to call. Our generator keeps dental replies privacy-safe by default.
